I normally do not procrastinate about my CE’s done for the year… My state association normally provides enough CE via written CE for the entire year. Typically, I send in the paperwork in Jan of the year… I get the certificate …scan it into my laptop and seldom have to access the information ever again.
For some reason, the company where I do most of my temping decided that they wanted proof of CE for 2011 from every RPH that worked there. I was on vacation at the time… and of course, like most corporation.. they want the information NOW… if not sooner! Okay… I will dig it up and email it …
Go searching thru the computer. Luckily, I am pretty good about using file folders and they were right where they were suppose to be… Starting looking around and found where I had attended a number of other live presentations and found 14 hrs from the live presentations… along with the other 15 hrs… I had nearly twice what I needed… no sweat…
But the CE certificate from the association was not to be found… started looking around… and found that when I submitted the paperwork in Jan 2011 that they had been credited to 2010… I have both a Indiana & Kentucky license and Indiana works on a bi-annual process so 30 hrs in one year…is not a big deal… BUT.. in Kentucky you have to have 15 hrs EACH YEAR…
I had submitted the paperwork via email attachment… so .. I went searching back thru emails to the individual I sent them to… Found where I had sent them in Jan 3, 2011 at 10:30PM… So I sent that email back to the person I sent them to.. noting that there was a clerical error and needed a corrected CE certificate ..showing that 15 hrs of the CE was earned in 2011 NOT 2010…
It was forwarded to a different staff member … who is in charge of taking care of the CE program… what was seemingly a pretty straightforward issue… turned into numerous exchange of emails…
Do you acknowledgement of first person receiving… more digging… yes… Jan 4, 2011… forwarded another email…
They claimed that they were working from the “post-marked date”… what POST MARK DATE.. it was EMAILED… and that they were conforming with ACPE rules…
Several more exchange of emails …. finally a revised CE certificate…
If I had not emailed that paperwork.. they would have claimed they were working from a post-mark .. that they may or may not have had or being able to reproduce… and as hard as it was to get them to correct the clerical error when I had documentation of the submitted date.
At risk here.. since I could only document 14 hrs – ONE HOUR SHORT.. is a $500 fine and OTHER CORRECTIVE ACTION(S) by the BOP…
Should we be sending in CE paperwork by certified mail or only by email attachment to document day sent.. particularly when they are being submitted close to a calendar cut off date?
